Women In Bio is currently looking for a 15 hour/week Executive Administrator

Women In Bio (WIB) is seeking a part-time Executive Administrative Assistant to work closely with the WIB President, chapters, committee chairs, and members, and to represent WIB in a professional capacity. WIB is a national, fast-growing volunteer organization of professionals committed to fostering and encouraging entrepreneurship and career development of women in the life sciences industry. This new position is for an independent contractor, for approximately 15 hours per week on a flexible schedule. The Executive Administrative Assistant will report directly to the WIB President. The position could, with growth of the organization, become a permanent full-time WIB position as Executive Director.

Desired experience and qualities of the candidate:
    . Self-motivated professional who can multi-task and work well in a team environment with WIB officers, volunteer leaders, and paid support personnel.
    . Excellent networking skills
    . Detail-oriented, with strong writing skills and verbal communication skills
    . Computer savvy: experience with or ability to learn database management systems
    . Demonstrated program planning skills
    . Ability to prudently manage organization's resources within yearly board-approved budget guidelines and according to current policies and procedures
    . Experience with fundraising
    . Familiarity with and experience working in biotechnology industry preferred but not essential
    . Other duties as assigned

Principle duties:

    . In working with the WIB President, assures that the organization and its mission, programs, products, and services are presented strongly and consistently to relevant stakeholders; facilitates scheduling and helps selects venue for Board of Director's meetings; helps to assemble and sends Board materials to Directors one week prior to Board meetings.

    . In working with the Treasurer and Secretary, identifies WIB issues that require formal policies and procedures and brings these to the attention of the officers; develops operational procedures as appropriate, with input by officers and Board; works with the Treasurer to determine annual budget for organization.

    . In working with the Board, attends meetings as ex-officio member; obtains minutes from Secretary and circulates draft board minutes to Board members; incorporates changes and prepares final meeting minutes for subsequent approval.

Works with WIB committees, including but not limited to:

    . With the Program Committee, assists volunteer Program Chairs(s) in executing approximately 12 program events annually (venue contracts, program development, logistical and meal planning, etc.)

    . With the Fundraising Committee, assists volunteer Fundraising Chair(s) to identify resource requirements, funding sources and strategies, and assists in submitting funding proposals; keeps detailed records and documentation of funding requests and successes.

    . With the Membership Committee, assists volunteer Membership Chair(s) in maintaining accurate membership rolls and planning for new member recruitment; follows up on all requests for membership information and maintains accurate records of new members.

    . With the Communications Committee, assists volunteer Communication Chair(s) in oversight of all external WIB communications including upkeep of website.

    . With the Chapters Committee, assists volunteer Chapter Chair(s) in managing chapter events.

Works with the Advisory Board:

    . In working with the Advisory Board, facilitates scheduling and venue for Advisory Board meetings; facilitates the nomination process for election of new and returning officers; attends meetings as ex-officio member and records minutes of meetings; prepares meetings materials as appropriate.

Nomination and Election of WIB President-Elect, 2011

Background: The vision, goals, and experiences of the Women In Bio are shaped by its president, president-elect, and president emeritus. In the fall of this year, Women In Bio (WIB) members will vote for a 2011 president-elect. The president-elect will take office on January 1, 2011, and will work directly with 2011 WIB president Debra Bowes. By doing so, the president-elect has the opportunity to understand fully the mission and goals of the organization and to learn the major responsibilities of the WIB president.

. In December 2010, an election will be held to select a new WIB president-elect. In January 2011, the president-elect will begin serving her one-year term.

. The 2010 president-elect will become president for one year (2011).

. The 2010 president will become president emeritus for one year and will offer guidance to the new president and president-elect.

Lynn Johnson Langer remain WIB president and chair of the WIB board through 2010. She becomes president emeritus in 2011. Gianna Arnold is now president emeritus and remains so throughout 2010.

Let's work together to take WIB to the next level! WIB is now soliciting nominations for the 2011 president-elect. Nominations close on October 15, 2010. Please consider taking the challenge yourself, or nominate someone you believe has the interest, vision, and skills to lead the organization. Please confirm with that person that she is willing to serve.

Elections will be held early December, 2010. During that week, you will receive an e-mail with the slate of candidates and instructions for voting. Voting will be done electronically and is completely anonymous. All members whose membership is up-to-date as of December 1, 2010, are eligible to vote.

WIB Officer Description
PRESIDENT

The president is a volunteer position, as are all WIB officer positions.

Benefits: The WIB presidency is a highly visible position that offers the opportunity to meet and interact with industry leaders and executives in the international bioscience community. The president is an advocate for women in emerging life science companies and has the opportunity to shape meaningful programs that serve entrepreneurs and professionals. The president is the person to whom the national media turns for insight on issues related to women entrepreneurs. Responsibilities: The president builds and maintains relationships with WIB sponsors and strategic partners. The president is responsible for the oversight and management of all WIB functions. The president leads the organization in fulfilling the WIB mission and vision and works directly with the WIB chair and the board of directors. The president leads the board in developing goals, milestones, and organizational policies.

The president reports to the board of directors on the activities of the organization and brings to their attention any issues in need of being resolved. The president interfaces with the WIB advisory board and seeks their advice on matters related to WIB. The president coordinates activities with the WIB committee chairs and attends their meetings as necessary. The president is the chief communicator with steering committee liaisons of WIB chapters, ensuring that the vision and goals of the organization are being met. The president works closely with the WIB treasurer to ensure the expenditures and revenues are in line with the budget and recorded appropriately. The president also works with contractual partners as needed for website development, administrative assistance, events coordinator, and accounting functions. The president represents WIB at outside functions.

Qualifications: The ideal candidate for WIB president would be an active member of WIB who has attended at least three events in the past two years and has served on a WIB committee. The candidate should have experience working with women entrepreneurs and executives in the bioscience industry. She should be familiar with issues faced by women in the workforce. The candidate should have experience in event planning and in managing volunteer organizations. We are seeking a person who is visionary and who can take the reigns of the organization. The candidate must have exceptional communication and organizational skills.

The candidate must be available to attend six board meetings annually, WIB events, and other selected meetings. Average weekly time commitment for the president-elect term is five to 10 hours/week; average weekly time commitment for the president is 10 to 15 hours/week.
